Case study · Retail

Pop-up sales and stock in one app. Live on every phone at the stand.

A Portuguese dancewear brand now sells, tracks stock and sees revenue for every pop-up event in one app. The team's phones stay in sync, and the owner sees the numbers as they happen. It went live 2 days after the first build.

Client

Ballet Rosa, a dancewear brand from Portugal. They sell leotards, tights and dancewear at pop-up stands during dance events. At the Dance World Cup 2026 they ran a stand for 11 days with five salespeople, around 2,500 products and 134 stock boxes.

Problem

An 11-day event is a lot of selling. At the Dance World Cup 2026 the team took 885 orders and sold 1,492 items. Products sat in 134 numbered boxes, plus a display rail. Five people sold at the same time.

The brand was running on an earlier custom app. It was set up for one event, and the business had outgrown it.

  • Totals could not be trusted. Some orders had a "%" discount picked but no amount typed in. The old app counted those sales as €0. That hid €982.49 of real sales across 11 orders.
  • Stock fixes were done by hand. Swaps and corrections went into a separate list with free-text notes.
  • One event at a time. There was no clean way to set up the next event, copy the stock or choose who works it.
  • No clear view of who sold what. The owner wanted revenue by salesperson, by payment method and by product, for any date range.

What we built

We understood the problem, then picked the platform that fits. We built a custom sales app in Ballet Rosa's own look. It works on the phones at the stand and on a laptop in the office.

  • Events. Create, copy, close and reopen events. Each event has its own stock and its own team.
  • Fast stock search. Search about 2,500 items by name, code or box. Filter by box, in stock, on the hanger or out of stock.
  • Live stock on every phone. When anyone sells or fixes an item, every screen updates. Stock is checked at checkout, so the same last item can't be sold twice.
  • Cart and checkout. One discount per order, in € or %. Each order gets a number like BR-DWC-0001 and a branded PDF receipt.
  • Owner dashboard. Orders, net revenue after discount, revenue over time, a sales leaderboard, payment split and the top 20 best sellers. Pick any date range.
  • Roles and stock import. Salespeople only see their events and their own orders. The owner manages users, payment methods and imports stock from a spreadsheet in 4 steps.

Before

Sales ran through an older app built for one event, with stock fixes noted by hand in a separate list.

After

Every salesperson sells from their phone with live stock, and the owner sees orders, revenue and best sellers for any event, as they happen.

Results

  • €982.49 of hidden sales recovered. 11 orders the old app counted as €0 now count at full price.
  • The full Dance World Cup 2026 history moved across: 885 orders, 1,492 items sold, €79,086.37 net revenue, 2,518 products in 134 boxes.
  • Clear sales split. 83% of revenue came by card and 17% in cash. The leaderboard shows each salesperson's orders, units and revenue.
  • No double-selling. Stock is checked and reduced in one step at checkout.
  • Owned by the client. The app runs on Ballet Rosa's own accounts.
